How I handle a return or RMA
- Log the request. Check the order and your return policy, and confirm the next steps with the customer.
- Collect the details. Photos, order information and anything else needed to decide the case.
- Issue the RMA. Send clear return instructions and record the RMA on the order.
- Track it through. Follow the return, the supplier or the manufacturer until there is an outcome.
- Refund, replace or repair. Process the outcome in your store and tell the customer what happens next.
- Close and record. Every case closed with a clear note, so you can spot repeat problems.
Warranty claims with manufacturers
Warranty claims stall when nobody owns them. I gather the evidence a manufacturer needs, submit the claim, chase replies and keep the customer updated until the claim is settled. It’s a core part of my current role with a UK-based retailer that serves customers in the UK and the US.
What you get
- One owner for every case, from the first email to the final refund or replacement.
- Customers kept informed, so they don’t have to chase you for updates.
- Suppliers and manufacturers chased until each claim has an answer.
- A clear record on every order, so you can see what happened and why.
Elias has done a great job … he constantly works very efficiently, and I am very impressed with his work. Don’t hesitate to hire him, you won’t regret it.
Questions, answered
Can you deal with our suppliers and manufacturers directly?
Yes. Supplier and manufacturer communication is part of my daily work: submitting claims, chasing replies and arranging replacement parts.
Our products are technical. Is that a problem?
No. I work with technical replacement parts every day. I learn your products and policies first and ask the right questions to collect what a manufacturer needs.
Which platforms do you process refunds on?
Mainly WooCommerce, and also Shopify. I follow your refund policy and record every decision on the order.
